OPENFinancials is an award-winning corporate accounting system that has been designed specifically for use at social housing organisations. A Microsoft Windows-based system, it puts users in control of all key financial tasks.  Integrating fully with OPENHousing and OPENContractor, the financial software suite offers a seamless, functional and scalable, organisation-wide management solution.

In use at more than 200 organisations throughout the UK, OPENFinancials offers comprehensive process control, multi-company accounting (with group consolidation) for organisations both large and small. Further functionality allows users to interrogate management information online. Access to detailed data is provided on a need-to-know basis.

OPENFinancials provides state-of-the-art accounting practice in a suite of consistent, easy-to-use ledgers. The full suite offers 25 modules ranging from General Ledger, Sales and Purchase Ledgers through to Cash Book and Bank Reconciliation, Electronic Document Management and Workflow

OPENFinancials is employed at more 800 organisations worldwide and is the corporate accounting system for The Royal Mint, SpecSavers and Marks & Spencers Per Una. It has been the winner over several years of the ‘Best Product’ category in the BASDA awards.

  • General Ledger

    details

    The General Ledger module acts as the central repository for all information and integrates with all modules. Enquiries can drill from cost code summary level, to expense code, flowing through to transactions held on the subsidiary ledgers. The General Ledger not only offers a flexible chart of accounts but also unlimited analysis groupings external to the chart of accounts. Balances are held at posting level and summary levels. Journals may be left as held if out of balance, imported from spreadsheets and set up as regular journals with calendars to trigger generation. Reporting options include the facility to span financial years.

  • Budgeting

    details

    The Budgeting module allows for unlimited budgets and forecasts for base values; currencies and quantities may be held, reported and enquired upon. This software module offers powerful options to generate unlimited models, with full history, in addition to offering easy importation from spreadsheets. Budget journal (Virement) processing provides facilities for the updating of existing budgetary information.

  • Company Accounts

    details

    A reporting module, Company Accounts allows the user to define both profit and loss and balance sheet. Working Paper options are available.
  • Management Accounts

    details

    The user may produce their own library of reports, accessing General Ledger, Commitments and Budgeting, for balances at both summary and detail level. The report writer is aimed at accounting personnel, concentrating on ease of use and flexibility, in addition to seamless integration to spreadsheets. Multiple organisational views, external to the chart of accounts, allow reports to be run many times in completely different formats.

  • Corporate Accounts

    details

    The Corporate Accounts module handles multi-company consolidation at general ledger level, irrespective of their individual chart of accounts or base currency. Cross-company analysis codes allow hierarchies to be used for producing consolidated accounts. Cross-tabulation is also available.

  • Commitments

    details

    Commitments may be viewed from within the Commitment module, as well as project and general ledgers, offering the accountant a true picture of actual and committed expenditure. Commitments may be manual or automatic. Reports and enquiries enable the outstanding commitments to be analysed by General Ledger and by type.

  • Cash and Bank

    details

    Cash and Bank is a fully computerised cashbook allowing automatic bank reconciliation from bank statement import or manual entry. Details of payments and receipts may be passed automatically from accounts payable and receivable. Reconciled items can be viewed from enquiries. 9999 bank accounts are allowed per company. Various reports are available within Cash and Bank detailing reconciled and un-reconciled items. The Vote Report functionality analyses payments and receipts against a series of codes stored at expense code level.

  • Sundry Payments

    details

    This is designed for one-off payments and integrates fully with the Cash and Bank module. Cheques and remittances may be produced with accompanying text. Enquiries from the cashbook drill out to Sundry Payments, displaying all the accompanying data for the one-off cheque. Emergency cheques may be produced, forcing General Ledger details at a later stage.

  • Fixed Assets

    details

    The Fixed Assets module offers standard depreciation calculation methods, automatically posting depreciation to the General Ledger. Fixed Assets also integrate with accounts payable, allowing invoice details to be automatically posted to the register as an unregistered asset. Following registration, traceability is then available from asset generation through to acquisition. Full asset history is held.

  • OpenLink

    details

    OPENLink provides both a standard data migration tool and an integration mechanism. Transactions may be automatically fed to and from third party systems. Screens can have additional buttons added to call programs external to OPENFinancials, such as an enquiry to call a sales order or document image.

  • Purchase Order Processing

    details

    This module integrates with accounts payable, Commitments, Project and General Ledgers. Requisitions may be raised, authorised and converted to an order. Commitments are automatically generated and reversed at invoice stage. Standard product and price libraries can be maintained by department and location, and order details can be entered as free-form text. Automatic accrual routines exist to assist month end procedures.

  • Stock

    details

    The Stock module integrates with Purchase Order Processing module and General Ledgers. This application provides functionality to record stock issues and receipts and transfers between departments and locations. It also utilises stock replenishment and stock check functionalities.
  • Project Costing

    details

    The base Project Costing module fully integrates with Commitments, accounts payable, accounts receivable, invoicing and Cash and Bank modules. Stock has the ability to record both project and work stage (s) within projects as required. The module can be used to perform full project costing analysis, in addition to further unlimited user defined analysis available at both enquiry and reporting levels. This being achieved outside the General Ledger, allows the maintenance of an uncluttered chart of accounts. It can be used for a multitude of purposes including capital projects, jobs and contracts.
     
    Project Costing links directly to the Resources Management module and to the Timesheets module, providing a full project costing functionality. Combined with the Project Billing module, customer invoices are raised automatically around user-defined criteria. Project Costing also has its own budgeting and reporting modules, allowing unlimited budgets and a user-defined library of reports to be defined. Projects may span across multiple years and be incorporated into project hierarchies.

  • Project Budgeting

    details

    Unlimited budgets and forecasts for base values, secondary and source currency values, in addition to quantities can be held, reported and enquired upon. Reporting from Project Budgeting can be defined around multiple budget models allowing comparisons to be performed. Desktop integration means that budget models can be imported easily from spreadsheets.

  • Project Reporting

    Project Reporting can define a library of reports allowing users to access project, commitment and budgeting information, including both values and quantities at detailed and summary level. This module is perfect for accounting personnel. Project Reporting brings to the fore the ease of use and flexibility using spreadsheets as a display tool and allowing automated distribution via email or HTML formats. Multiple organisational views can be used to run a report many times in various formats.

  • Project Billing

    details

    This module allows for the accumulation and entry of billing detail to the Project Ledger, from which invoices can be raised. Integrating with the OPENFinancials Receivables Invoicing module, Project Billing provides detailed sales analysis and allows full control to be maintained whilst giving flexibility of media output. The ability to monitor the status of all elements of work recorded on the project ledger with the ability to make adjustment and providing reports and enquiries.

  • Resource Management

    details

    Resource Management is fully integrated with Timesheets to the Project Costing and Billing modules. It has the ability to create and maintain resources by workgroup and job grade, the ability to define General Ledger coding, and cost and billing information. Resource Management allows resource information to be recorded, reported and recovered by project and customer.

    It provides the back end to Timesheets, feeding from either e-BIS or an alternative third party system. Information is imported to Project Costing and validated against user-defined calendars, entry rules and unit value controls. This exercise provides cost and billing analysis. A variety of predefined reports are available as well as the facility to extract data to spreadsheet.

  • Executive Desktop Reporting (EDR)

    details

    EDR provides the option to automatically generate and distribute management reports though email or HTML format. In addition, pivot tables may be automatically produced from the General Ledger, Accounts Payable and Accounts Receivable ledgers with full drill back facilities.
